Tenant & Landlord Terms

This page applies to all tenancy relationships managed through tekmproperties.uk and is designed to clarify the fundamental rights, obligations, and communication protocols for both landlords and tenants throughout the property management process.

🏠 I. Landlord Terms

Landlord Responsibilities

The landlord must ensure that the property provided:

  • Possesses legal title or valid authorization to let
  • Complies with local housing safety and tenancy regulations
  • Has undergone necessary safety inspections (e.g., gas, electrical, and fire safety)
  • Provides accurate and complete property information

Scope of Services and Management Authority

Upon signing a management agreement with tekmproperties.uk:

  • We are authorized to act on behalf of the landlord in handling day-to-day tenancy matters
  • This includes tenant vetting, rent collection, maintenance coordination, etc.
  • All major decisions (e.g., rent adjustments, major repairs) will be made in consultation with and confirmed by the landlord

Fee Structure

Management fees are charged in accordance with the mutual agreement

  • Fees apply exclusively to property management services
  • They do not involve property sales transactions or revenue derived from rent differentials

Communication Channels

Landlords may contact us via the following methods:

  • Telephone support
  • Email correspondence
  • Service reports and periodic updates

We typically respond within a reasonable timeframe (within 24 hours on business days).

🧑‍💼 II. Tenant Terms

Rent Payment Methods

Tenants are required to adhere to the terms stipulated in the Lease Agreement:

  • Pay rent on time.
  • Complete payments using the designated payment method.

Tenancy Deposit Protection

All tenancy deposits are protected in compliance with the Housing Act 2004:

  • Deposits will be held in a government-approved Tenancy Deposit Protection (TDP) scheme (DPS, MyDeposits, or TDS) within 30 days of receipt.
  • Tenants will receive full “prescribed information” about the deposit scheme within the same timeframe.
  • Deposits will be returned at the end of the tenancy, subject to the Lease Agreement terms and any agreed deductions for damages or unpaid rent.

Permitted Tenant Fees

In compliance with the Tenant Fees Act 2019, only the following fees are permitted to be charged to tenants:

  • Rent, as agreed in the Lease Agreement
  • A tenancy deposit (max 5 weeks’ rent for annual rents under £50,000; 6 weeks’ rent for annual rents ≥£50,000)
  • A holding deposit (max 1 week’s rent, to reserve the property prior to move-in)

No other fees, charges, or payments are permitted to be requested or charged to tenants under any circumstances.

Property Usage Guidelines

Tenants must observe the following codes of conduct:

  • Use the property and its facilities responsibly.
  • Refrain from engaging in any illegal or destructive activities.
  • Do not sublet the property or alter its residential use without prior authorization.
  • Maintain the property in a reasonably clean and safe condition.

Maintenance and Issue Reporting Procedures

In the event of maintenance issues or malfunctions:

  • Tenants must report the issue to the management team immediately.
  • Provide a clear description of the problem, along with necessary photographs (where applicable).
  • Urgent issues (e.g., utility failures, heating malfunctions) will be prioritized for immediate resolution.
  • Non-urgent repairs will be scheduled and addressed according to priority and availability.

Maintenance Responsibility Clarification

  • The Landlord is responsible for repairs resulting from normal wear and tear.
  • Tenants are liable for damages caused by their own misuse or negligence.
  • All determinations regarding liability will be made based on the specific circumstances and the terms of the Lease Agreement.

📌 III. General Terms

  • All property management services are provided in accordance with a formal Property Management Agreement.
  • tekmproperties.uk provides property management and coordination services only.
  • We do not hold ownership title to any of the properties under our management.

Complaints & Redress Scheme

TEK M PROPERTIES LTD is a member of a government-approved property redress scheme to resolve disputes fairly and independently:

  • If the issue is not resolved to your satisfaction, you may escalate the complaint to our redress scheme.
  • Full details of the redress scheme and our complaints procedure are available on request.

All disputes will be resolved primarily through mutual negotiation.
